Art Manager is a Cloud Computing application based on Salesforce.com, designed for businesses that sell high value original or limited edition art.

  • An application based on Salesforce CRM Professional Edition or higher, optimized for managing and selling high-value art items.
  • Based on the Force.com platform, all you need is access to the Internet and a Web Browser (works great on iPad).

Functionality:
  • Art Inventory Management:
    • Artist, Title, Edition, Piece objects.
      • Thumbnail and Detailed Description URLs point to images and descriptive information held externally on the Web.
    • ‘Generate Pieces’ button allows the user to generate records representing individual Pieces for an Edition of a Title (for example a limited edition of 100), in various states (e.g. In Production, Available for Sale).
    • Legal ownership of Pieces – each Piece can be associated with an Account which represents the legal owner.
    • Location of Pieces – each Piece can be associated with an Account which identifies the Location of the Piece.
  • Marketing:
    • Campaign, Lead, CampaignMember objects.
      • (Note: ¬†Campaign support is a licensable option with Salesforce.com Professional Edition)
    • Assign Leads to individual Sales Reps, or to a Queue.
    • Standard Salesforce.com functionality.
  • Account Management:
    • Account, Contact objects.
    • Account types: Studio, Gallery, Museum, Client.
    • Standard Salesforce.com functionality.
  • Sales:
    • Interest custom object, represents an interest in an Edition/Piece for an Opportunity.
    • ‘Select Piece’ button allows the user to search for a Title, then select an Edition, and optionally a specific Piece, which will be reserved, and therefore made Unavailable for Sale.
    • Agreed Price of a Piece can differ from the Notional Price of the Edition – optionally can use Approvals
  • Opportunity object:
      • ‘Generate Sales Order’ allows the user to generate an Sales Order object from a Closed Won Opportunity, with Sales Order Lines corresponding to the Interests which are associated with Pieces.
  • Billing and Delivery:
    • Sales Order, Sales Order Line, Invoice, Invoice Line objects.
      • ‘Print Sales Order’ button – generates a printable Sales Order as a PDF.
      • ‘Print Invoice’ button – generates a printable Invoice as a PDF.
    • Payment object.
      • Records a payment against an Invoice.
    • Delivery object.
      • Records delivery of a Piece from an Account to an Account, with optional change of legal ownership.
      • When Delivery is completed, location of Piece is automatically updated.
  • Framing, mounting, etc.
    • TBD
  • Reports and Dashboards:
    • Full transaction history.
    • Pipeline business reports.
  • Privacy and Security:
    • Salesforce Sharing Model and Role Hierarchy can be implemented to make all data private to the owner and superiors in the role hierarchy. ¬†For example, a Salesperson or Dealer can keep all his/her Leads, Accounts, Contacts and Opportunities private from other Salespersons.
    • Data is highly secure on Salesforce.com servers, and can be backed up to local storage on demand.
